What We're Looking For:
This is a seasoned professional who has considerable administrative experience assisting members of executive staff, managing their schedule and helping support their interactions with clients, community, employees. An individual in this role works closely with the President, performing a variety of administrative tasks that provide solutions for needs that arise unpredictably while providing seamless services for leadership and employees. In addition, this role may perform responsibilities in a department or group providing overall leadership and professional services. This role provides critical support in elevating the overall client and employee experience.

Responsibilities:
  • Provides a variety of detailed administrative services for the President, including managing active calendars, commitments, travel arrangements, materials for various meetings and events, processing expense reports, etc. Communicates directly, and on behalf of the President with external clients, and others, on matters related to the President.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Assists in coordinating agendas for various leadership team meetings and off-sites. Plans, arranges cadence, and participates as a member in various leadership meetings.
  • Guides event planning and organizes activities for large events, conference calls, and meetings. Activities include scheduling, preparing agendas, exercises, arranging cadence, ordering food and supplies, technical assistance to include A/V support, vendor, and guest coordination for the events. Provides full execution of plans and wrap up activities as needed for each event.
  • Manages communication with stakeholders around each project to ensure maximum efficiency and the highest-level of client experience.
  • Prepares proposals, program materials, and presentations to support programs and business development efforts
  • Facilitates executional approaches on President's initiatives with various business units/ business services projects. Provides recommendations and directions for achieving goals. Creates various documents, processes, and communications based on gathering and reviewing information and data.
  • Champions various initiatives on behalf of leadership, with a strong ability to create a collaborative and cohesive team.
  • Assists with managing and supporting engagement and recognition initiatives.
  • Performs document creation and production, proofreading, editing, formatting, and other activities as defined at the Specialist level.
  • Handles all project related financial administration
  • Performs other duties as requested/ assigned.


Education & Experience Qualifications:
  • Bachelor's degree in business administration, accounting, business management, marketing, communications, another relevant combination of education and/ or experience may also be considered
  • 4 years of relevant office or business administration experience
  • Ability to work in a dynamic environment
  • Strong organizational and communication skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and ability to maintain confidentiality
  • Ability to perform under pressure, prioritize needs, and make decisions to meet deadlines
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Strong knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and other programs and platforms
  • Strong interpersonal skills and the ability to build relationships with stakeholders, employees, clients, and vendors.
  • Seasoned administrative knowledge in providing consulting services
  • Proactive problem-solving skills
  • Available to work during core hours to fulfill responsibilities of this role as well as overtime on a short notice
  • Proactively collaborates with leaders to meet goals and commitments


Salary Range: $50,000-$80,000 annually
